Business email for a new business

Written by Jack Harrington and Gabriel Pozo, the founders of Urban Media, Melbourne. Updated .

Emails from a free address get ignored, filtered and distrusted. An address on your own domain costs little and does more for credibility than most things on a launch list.

General guidance from the studio. No supplier prices are quoted because they change often.

Why a domain address matters

  • It matches your website, so customers can see the email is really from you.
  • It is yours. If you change suppliers the address goes with you.
  • It looks like a business before you have a track record.

How to set it up

  • Register the domain in your own name.
  • Choose a mail provider that gives you proper mailboxes on your domain.
  • Add the records your provider gives you at the domain's DNS, so mail is delivered and not marked as spam.
  • Start with a few clear addresses, such as hello@ and accounts@, rather than a different one for every purpose.

Mistakes that lose mail

  • Changing website host or DNS without copying the mail records across.
  • Letting the domain lapse, which takes the website and the email down together.
  • Using a personal inbox as the only copy of customer enquiries.

Connect the website form

Make sure the enquiry form on your website delivers to a mailbox that more than one person can see, and that you have tested it end to end. An enquiry that never arrives is the most expensive bug a new site can have.

Where Urban Launch fits

Urban Launch sets up the domain, the email and the enquiry form together and tests the whole path, so the first customer message does not vanish.

Common questions

Do I need a business email address?
It is strongly recommended. An address on your own domain looks more trustworthy than a free one and stays with you if you change suppliers.
How do I get an email address on my own domain?
Register the domain, choose a mail provider that offers mailboxes on your domain, and add the DNS records the provider gives you.
Why is my business email going to spam?
Often the mail records at the domain are missing or wrong. Add the records your provider specifies and test delivery.
What happens to my email if my domain expires?
Both the website and the email on that domain stop working, so turn on auto-renew and keep the contact details current.

Start with a Launch Call

Live and generating enquiries within 45 days, or we keep working at no extra cost until you are. The Launch Call is where we check it is the right fit before we book anything in. For a real example, read the Airwize case study (12 conversions, meaning leads that became sales, in the first month of Google Ads from $70 of ad spend, our figures). You can also read how a launch package compares with hiring separately, or go to the packages and prices on the homepage.
